How to Back Up Your Computer

Okay, let's talk about keeping your computer stuff safe. Your computer has things you can't lose. Family photos, important papers, work stuff, cool projects... Poof! Gone forever if your computer crashes. Learning how to back up your computer? Not just a good idea. It's a must.

Why Bother Backing Up?

Think about this: Your computer breaks. Or gets a nasty virus. Or someone steals it. Without a backup, years of stuff are gone. Just like that. How does data get lost? Here are a few ways:

  • Hardware goes bad. Hard drives? They always fail. It's not if, but when.
  • Software messes up. Bugs, viruses... They can ruin everything.
  • Oops! Accidentally deleting files? Happens all the time.
  • Someone takes it. Laptops get stolen. Easy to lose things too.
  • Uh oh... Nature. Fires, floods... Gone.

But! If you back up your computer, you can get your stuff back fast.

Cloud or Hard Drive? Which is Best?

Two main ways to back up: cloud storage and external hard drives. What's the difference? And which is better for you?

Cloud Storage: Easy to Get To

Cloud storage is like Google Drive or Dropbox. Your stuff is on the internet. You can get to it from anywhere.

Good Things About Cloud Storage:

  1. Get it anywhere. Need a file? Just log in.
  2. Auto-magic. Backs up automatically. Always up-to-date.
  3. Safe from fire. Stored in super-secure places.
  4. Teamwork! Easy to share and work together.
  5. Time machine! Go back to older versions of files.

Not-So-Good Things About Cloud Storage:

  1. Costs money. Especially for lots of space.
  2. Need internet. No internet? No files.
  3. Is it private? Read the fine print.
  4. Slow sometimes. Big files take a while.

External Hard Drives: You're in Charge!

External hard drives are old-school. You plug it in and copy your files. You control everything!

Good Things About External Hard Drives:

  1. Cheap! One-time cost.
  2. You're the boss. You decide where it goes.
  3. Fast. Usually faster than the cloud.
  4. No internet needed.

Not-So-Good Things About External Hard Drives:

  1. Can break. Or get stolen. Or lost.
  2. You have to remember. Backups are not automatic.
  3. Keep it safe! Don't keep it next to your computer (in case of fire).
  4. Old tech. Might become outdated.

How to Back Up: Step by Step

No matter what you choose, here's how to do it right.

1. What's Important?

What do you really need to save?

  • Documents?
  • Photos?
  • Videos?
  • Music?
  • Emails?
  • Databases?
  • Everything? (Operating system and all your programs)

Think about what you'd cry over losing. Back that up first.

2. Pick a Way (or Two!)

Cloud? Hard drive? Both? Doing both is best. Like the 3-2-1 rule:

  • 3 copies of your stuff.
  • On 2 different things (cloud and hard drive).
  • 1 copy somewhere else (not at your house).

3. Set Up Your Software

Your computer probably has built-in backup tools:

  • Windows: Has "Backup and Restore."
  • Mac: Has "Time Machine."

Or, get other software. Some options are:

  • Acronis Cyber Protect Home Office
  • EaseUS Todo Backup
  • Paragon Backup & Recovery

These can do fancy things like only backing up what's changed.

4. Make a Schedule

Back up often! How often? Depends on how much you change things. Every day? Every week? Set a reminder!

Cloud storage? Set it to auto-backup. Hard drive? Put it on your calendar.

5. Test! Test! Test!

Make sure it works. Try getting a file back. Can you do it? Good. Now you know it's ready if something bad happens.

Uh Oh... Data Loss!

Even with backups, things go wrong. Here's what to do if you lose data.

  1. Stop! Stop using the computer right now.
  2. Don't panic! Don't try to fix it yourself if you don't know what you're doing.
  3. Check your backups. Can you get your stuff back?
  4. Call the pros. Data recovery services can help, but it can cost a lot.

Remember: Backups are way cheaper than data recovery.

Super Data Protection!

Want to be extra safe?

  • Lock it up! Encrypt your hard drive.
  • Two locks are better than one! Use two-factor authentication on everything.
  • Anti-virus. Keep it up-to-date.
  • Update! Keep your software updated.
  • Firewall. Block bad guys.

The End (But Just the Beginning of Your Backups!)

How to back up my computer is the most important thing you can do for your digital life. Cloud or hard drive, just do it! And test it! Don't wait until it's too late.
